Data we hold for the running of our business
We will use your name, address, telephone numbers and email addresses in order to supply you with the services we provide. We also hold information about you and your company for billing and credit control purposes; this will include any services or products you have purchased from us, as well as information directly relating to work we have carried out on your behalf.
Sometimes we need to share your information with carefully selected third parties in order to administer services, such as disaster recovery and online backup. We will not sell or distribute your personal information to third parties for their own purposes, unless we have your permission or are required by law to do so.
We may disclose your personal or company information to third parties in order to comply with any legal obligation or for the purposes of fraud protection and credit risk reduction.
Data you store within the software and services we provide
The data held with the software we provide is owned by you. We will provide you with copies of this data in an appropriate format when required (there may be a charge for this service). We will not share any of this data with a third party unless we have your explicit permission or we are required to do so by law.
In order for us to fix problems and create new features in the software we provide, we may need to work on a copy of the data stored within the software. We will only keep the data for as long as it is necessary for the completion of the task we undertake. The data will be deleted as soon as the task is complete. During the time we hold this data we will take all reasonable steps to ensure it is held securely.
Online backups and disaster recovery
Online backup and disaster recovery is an optional service and is only supplied when you request this service.
When you subscribe to our online backup service we will take a copy of your data up to 6 times per day and up to 7 days per week. The data is copied to our online backup servers over an encrypted channel and is held there for up to 3 months. We maintain historical copies of backups for up to 3 months, so that if the latest backup should be incomplete, we have some fallback data from which to implement your recovery should the need arise.
The data is stored on a server that is accessible over the Internet. There is a small risk that the data on the backup server could be stolen. The risk is similar to that of data being stolen from your local server. We take every step to ensure that these online backup servers are kept secure and the risk of your data being accessed by anyone is as low as possible.
Our online backup servers are hosted by a third party and are further backed up for redundancy and disaster recovery of the service itself. We have a non disclosure agreement with our hosting company that protects your data. If you would like further information about our hosts we can provide this upon request.
Other than the hosting company, we will not share your data with a third party unless we have your explicit permission or are required to do so by law.
